Case Study: Halfords Annual Conference and Awards 2017

Most of us have experienced a corporate gathering which is dull and unimaginative. We’ve shared your pain – which is why we love helping to deliver incredible events for our clients, large and small.

We’ve just completed a major two day conference to help one of our regular clients, Halfords celebrate the 125th anniversary of when founder Fred Rushbrooke opened his first shop.

As the UK’s leading retailer of automotive and cycling products, this needed to be an exciting and engaging event for over 1,000 senior staff over two days.

The conference was held at Cheltenham Racecourse’s beautiful 350 acre site in the Cotswold hills, and Evolution worked alongside Halfords’ in-house events team on all aspects of the project, from helping with content of presentations, to taking care of all technical equipment and requirements.

Prior to the event, delegates registered through Halfords’ bespoke designed website and app, where we then assisted in coordinating the information to organise accommodation across seven local hotels, as well as arranging delegate’s travel via planes, trains, automobiles and coaches.

With key management attending and CEO, Jill McDonald presenting, even the grandson of Halfords founder Frederick Rushbrooke, Mark Rushbrooke visited the event.

At Evolution, we are dedicated to helping our clients with the event’s content and always encourage them to bring something new and innovative to their presentations, instead of the usual ‘death by PowerPoint’, we therefore worked closely with Jill McDonald and the senior executive team to suggest and create engaging presentations, scripts, visuals and production. As Halfords are passionate about service and their people, the presentations focused on their key themes of trust, confidence, fun and togetherness.

Taking full advantage of the Cinemascope screen in the Cheltenham Racecourse venue, we created highly visual presentations, captivating video content and an interactive Q&A between the current CEO and a virtual reality character on screen representing Halfords’ Founder from 1892.

We worked hard creating the interactive video, casting actors, sourcing a production team including directors, camera operators and producers and creating scripts and storyboards.

Evolution were on hand throughout the event for any last minute technical requirements, as well as managing lighting, sound and presentations. Following the conference, we also assisted with the celebrational dinner and awards, which took place on both evenings to celebrate the achievements and hard work of Halfords colleagues, again taking place at Cheltenham. During the evening there was plenty of entertainment, including our Air Guitar Band who were back for the second year due to popular demand.
